Procore Alternative

Procore is built for commercial. You do residential.

By Phazahn Odom | Founder of Phixmo | Former bookkeeper for residential GCs | Former NFL tight end, Pittsburgh Steelers

Every residential GC has the same Procore story. You sat through the demo. It looked impressive. Then you saw the price, realized you'd need a full-time admin to run it, and went back to spreadsheets.

You don't need a platform built for 200-person commercial crews managing $50M high-rises. You need something built for a small team doing kitchen remodels, ADUs, and room additions. Something that tracks costs, sends contracts, and lets your crew clock in without charging you per head. That's Phixmo.

Why doesn't Procore fit residential GCs?

Most small residential contractors find out the hard way that Procore wasn't built for them. Here's what comes up the most.

The pricing is built for commercial budgets.

Procore ties pricing to your annual construction volume. For most contractors, that means $10,000 to $60,000+ per year. Even their smallest tier starts around $375/month.

When you're running a remodeling company doing $1 to $3M a year with 10 to 12% margins, a $10,000/year software bill is hard to justify. That's the profit from an entire job.

It's designed for a workflow you don't have.

Procore assumes you have a dedicated project coordinator, an office manager running RFIs, a superintendent doing daily reports on a tablet, and an accounting team syncing everything to Sage or Viewpoint. If you're the owner who's also the estimator, the PM, and the guy answering the homeowner's texts at 9pm, Procore's workflow adds overhead instead of removing it.

The feature set is 80% stuff you'll never touch.

Procore has BIM coordination, bid management, drawing revision tracking, subcontractor prequalification workflows, and dozens of other tools built for commercial construction. If you're remodeling a kitchen or building an ADU, you're paying for features that were designed for hospitals and office towers.

The onboarding takes forever.

Procore implementations typically take weeks to months with dedicated training. For a small residential crew, you can't afford to lose two weeks of productivity learning software. You need something you can figure out in an afternoon and your crew can use by tomorrow morning.

What makes Phixmo different from Procore?

Eight things that matter for residential work and don't exist in Procore at any price point, or exist but cost extra.

Built specifically for residential.

Every feature in Phixmo was designed for the kind of work residential GCs actually do. The templates, the contract language, the cost categories, the estimation models. All residential.

Your field workers are free.

Procore charges per user. A crew of 3 managers and 12 field workers is 15 billable users. On Phixmo, that's 3 office seats. The other 12 clock in with GPS, submit photos, and log daily reports without adding a dollar to your bill.

AI blueprint takeoffs are built in.

Upload a blueprint PDF and calibrate the scale with two clicks on a known dimension. AI reads the plans and pulls the measurements: room dimensions, wall lengths, door and window counts, square footage, each badged with how it was derived. You review the takeoff, adjust anything that looks off, and generate a full cost estimate from the measurements. This takes minutes instead of hours. Procore doesn't have this.

AI estimation from a description.

Don't have blueprints yet? Describe the job in plain English and get a first-pass estimate with labor, materials, subs, permits, overhead, and contingency broken down by category. Once you've completed jobs in Phixmo, it's priced from your own actuals rather than generic data. Great for quick ballpark numbers when a homeowner calls and wants a rough idea before you come out.

Ask your data questions in plain English.

Type 'how much have we spent on labor for the Highway 300 ADU?' and get an answer from your actual project data. No report builder, no filters, no exports. Just ask and get the number.

Contracts, invoices, and change orders. Done right.

Generate a contract from an estimate, send for e-signature, customer signs from their email. Send invoices with branded PDFs.

Change orders go through a real approval workflow. The customer approves or requests changes before you can invoice. Everything is branded with your company logo.

Customer portal included.

Your homeowner sees project progress, milestones, documents, and invoices. They approve change orders and message you directly through the portal. You look professional without doing extra work.

Verified customer reviews.

Completed projects automatically prompt the homeowner for a star rating, review, and photos. Every review is tied to a real project. Can't be faked, can't be bought.

Where does Procore still win?

Procore is the commercial industry standard for real reasons. If your work overlaps with what they do best, this is honest about it.

Commercial construction.

If you're building office buildings, hospitals, or multi-family over $10M, Procore is the industry standard for a reason. The BIM integration, drawing management, RFI workflow, and bid management are built for that scale. Phixmo isn't trying to compete there.

Drawing management.

Procore's plan room and revision tracking is deep. If you're managing 200-page plan sets with regular revisions across multiple trades, Procore handles that better than anyone. Phixmo has blueprint takeoff capability and document storage is on the roadmap, but it's not a full plan room today.

Ecosystem and integrations.

Procore integrates with hundreds of tools. Sage, Viewpoint, DocuSign, Bluebeam, you name it. Phixmo is newer and the integration library is still growing. QuickBooks is coming soon and a webhook system for Zapier/Make is on the roadmap.

Enterprise features.

SSO, advanced permissions, custom workflows, API access for internal tools. If you need IT-managed access control across multiple offices, Procore has that. Phixmo is built for companies where the owner knows everyone by name.

Where does Phixmo win over Procore?

Five places the math and the day-to-day experience favor Phixmo when the work is residential.

Price.

Phixmo Pro at $169/month versus Procore at $375 to $833+/month. For a residential GC doing $1 to $5M in annual volume, that's the difference between software that makes sense and software that eats a job's worth of profit every year.

Simplicity.

You can be up and running in an afternoon. Your crew can clock in by tomorrow morning. No weeks of training, no onboarding fees, no dedicated implementation manager.

AI tools.

Blueprint takeoffs, text estimation, receipt parsing, natural language queries. These features don't exist in Procore at any price point. A takeoff that used to take 3 to 4 hours takes 10 minutes.

Free field workers.

Your crew size doesn't affect your bill. Hire 5 more guys next month and your Phixmo bill stays the same. On Procore, that's 5 more billable users.

Founder access.

When you email phaz@phixmo.com, you get the person who built the platform. Not tier 1 support, not a chatbot, not a ticket that gets answered in 72 hours.

How much does Phixmo cost compared to Procore?

Phixmo Pro is $169/month with 5 office seats and unlimited free field worker seats. Procore typically lands between $10,000 and $60,000+ per year depending on construction volume.

Phixmo Pro is $169/month. Everything included. No modules, no add-ons, no per-transaction fees.

Annual cost, residential GC

Procore (smallest tier, residential volume)

$10,000/yr+

Plus per-user pricing as you scale

Phixmo Pro + unlimited free field workers

That's $7,972 back in your pocket. Every year. That's a real number for a small residential company.

Common questions

Is Phixmo really a Procore replacement?

For residential work, yes. If you're doing remodels, additions, ADUs, and custom homes under $5M, Phixmo covers the workflow you actually use: estimating, job costing, contracts, invoicing, change orders, time tracking, daily logs, and a customer portal. The features Procore has that Phixmo doesn't are almost all commercial-specific.

Can I migrate from Procore?

We're building data import tools. We'll help you get set up and move over the data that matters, and since signing up is free, you can start whenever you're ready. Most residential GCs find they can be running jobs in Phixmo within a day or two.

What about drawing management?

Phixmo has AI blueprint takeoffs today. Upload a PDF, get measurements extracted. A full document and plan room feature is on the roadmap. If you need Procore-level drawing revision tracking with trade markups, that's not us today.

Do you integrate with QuickBooks?

Coming soon. It's the next major integration on our roadmap. In the meantime, you can export data for manual import.
